What is my contractual relationship with the Client and the Company?
Once a tutoring position is confirmed, you enter into a direct tutoring contract with the Client.
Hampstead & Frognal Tutors acts as an agent, introducing you to the Client and administering the tutoring arrangement, including lesson logging, invoicing, and fee collection via the Company’s platform.
The Company is not responsible for lesson content or teaching methods.
How must lessons be logged and invoiced?
All lessons for Clients introduced by the Company must be:
● logged on TutorCruncher
● invoiced only through the Company’s platform
● recorded as soon as reasonably practicable after the lesson, and in all cases within 24 hours
Tutors must not:
● invoice Clients directly
● accept payment outside the platform
● create alternative invoicing arrangements
unless expressly authorised in writing by the Company.
Late or inaccurate lesson logs may result in delayed payment.
When and how am I paid?
● Payment terms are two (2) working days from the invoice date
● Payments are made automatically via the platform once Clients pay
● Prompt lesson logging ensures that invoices are issued to Clients quickly and helps avoid delays to tutor payments
● There is no cost to Tutors for receiving payments
If a Client fails to pay an invoice correctly raised on the platform, you may pursue recovery directly with the Client, provided:
● the invoice was generated via the platform
● no off-platform invoicing or payment is involved
Any recovery does not affect the Company’s right to its commission.
Can I agree different fees or arrangements with a Client?
No.
Tutors must not:
● agree alternative fees
● accept additional work
● alter payment arrangements
outside the Company’s platform or without written approval.
Private arrangements — including work with siblings, referrals, or additional subjects — must always be routed through the Company.
Breaching this rule is treated as a material breach of the Tutor Terms.
Can I teach siblings or additional children in the same family?
Only with the Company’s prior involvement.
Each child must:
● have their own TutorCruncher job
● be correctly set up before tuition begins
Tutors must not begin lessons with siblings or additional children until the Company has confirmed the correct job setup. This ensures accurate invoicing and avoids delays or disputes.
What cancellation rules apply?
Tutors must:
- agree a cancellation policy with the Client in advance (typically 24–48 hours)
- clearly communicate this policy at the outset
- confirm the agreed notice period and any chargeable cancellations in writing
Only lessons that are:
- expressly confirmed by the Client, and
- delivered or cancelled within the agreed notice period
are regarded as chargeable. The Company applies commission only where cancellation terms were clearly agreed in advance.
Who handles scheduling, cancellations and holidays?
Tutors should liaise directly with Clients regarding:
● lesson scheduling
● holidays
● cancellations or rescheduling
The Company may assist administratively but does not pass on routine scheduling messages.
Tutors are expected to:
● communicate clearly
● keep Clients informed
● ensure lesson changes are properly recorded on the platform
Can I charge for marking or work outside lesson time?
Yes — only if agreed in advance and confirmed in writing with the Client.
Important:
● If marking or additional work is charged at a different rate, a separate job must be set up
● All invoicing must run through the Company’s platform
● No off-platform charging or informal arrangements are permitted
What are my responsibilities regarding profiles and applications?
Tutors must ensure that their TutorCruncher profile is:
- accurate and up to date
- includes a current photo
- lists all subjects and levels taught
- shows a correct address (statutory invoicing requirement)
Incomplete or outdated profiles may result in:
- fewer job opportunities
- inability to apply for assignments
What are the rules on confidentiality and data protection?
Tutors must:
- treat all Client and Company information as confidential
- comply with safeguarding and data protection obligations
- never share Client details with third parties
Referrals must be handled properly:
- Tutors may be recommended by first name only
- All referrals must register through the Company
Confidentiality obligations continue for five years after termination.
What happens if I breach the Terms or FAQs?
Tutoring Clients introduced by Hampstead & Frognal Tutors carries important professional responsibilities.
Serious or deliberate breaches of the Tutor Terms — including private arrangements, off-platform charging, or misuse of Client relationships — may result in action by the Company. This may include removal from current assignments, removal from the tutor panel, recovery of commission and associated administrative costs, and, where appropriate, reporting to relevant professional or industry bodies.
Any action taken will be proportionate to the nature and seriousness of the breach.
Who do I contact if I am unsure?
If you are ever unsure about:
- invoicing
- cancellations
- additional work
- sibling tuition
- unusual client requests
